Receptionist

POSITION SUMMARY:

Under the direction of the Office Manager, the Receptionist will be responsible for processing all incoming calls, directing all incoming visitors and/or clients to the appropriate personnel or program.  Will ensure all visitors are signed in prior to entering the facility and will provide the required information on the services when the public calls in to inquire.  

DUTIES AND RESPONSIBILITIES:

  • General office duties such as scanning, faxing and photocopying.

  • Will record all incoming and outgoing correspondence.

  • Prepare documents as assigned for outgoing mail.

  • Assist the Program Managers with clerical duties as needed.

  • Answer incoming telephone calls in a professional manner and will redirect calls and/or take messages.

  • Greet and send clients and visitors to the appropriate personnel and/or services.

  • Keep track of staff traffic in/out of office.

  • Answer all inquiries pertaining to the organization.

  • Will participate in an organized and team environment.

  • Schedule meetings for the Program Managers.

 

REPORTING LINE: Accountable to the Office Manager

Rate of Pay: $16.50/hour - 37.5 hours/week 

 

QUALIFICATIONS:

  • High school diploma and/or 1-2 year post-secondary studies in the Administrative Assistant 1 program

  • Strong computer skills with experience in using all windows programs.

  • Must have organizational skills and analytical skills.

  • Must possess strong customer service skills.
